One live project · creative, production and finance together

Change one line.
The whole project moves.

Cascora is the brain, spine and heart of any project. Change anything, from the schedule to the styling of the core set: neurons are fired and everyone who needs to know, knows. Instantly. Any company can be the client, the agency or a supplier, and each sees only what's theirs.

The problem

Every project runs on twelve versions of the truth.

A master sheet, supplier quotes, the client deck, a WhatsApp thread per crisis. Designers ask what the budget is. Producers re-key the same change five times. The account director reconciles margin at midnight, because the version that bills the client is rarely the one that pays the supplier.

Calculations Perfected

Millions of budgets are built and managed in Excel and Google Sheets around the world, where one failed formula can crash the whole sheet. Cascora was designed by a producer who fixed leaking budget templates for agencies for 25 years, to solve precisely that problem.

Changes Catalogued

A decision is made; now every document needs updating and every stakeholder needs telling. In Cascora you make the change once, and it is keyed into the master sheet, the client deck, the supplier email, the schedule and the invoice, at every access level on the project. Instantly.

Drift Nullified

Once the concept deck, the 3D model and the budgeted figure at every tier of the project all work from the same source of truth, the billed number and the paid number no longer part company quietly, and the margin that used to go with them is retained by all parties.

How it works

One live record runs the whole job.

Cascora holds a single master budget and one record of the companies, contacts, services and documents around it. The agency works in cost and margin. Each supplier sees its own scope and price, nothing above it. The client sees a clean branded total. Permission is enforced in the database, not hidden on screen.

The same rules clamp every export and every sheet published to Drive: a leaked client PDF cannot contain a margin, because the margin never left the server.

Agency

Full cost, markup and margin, side by side.

Supplier

Its own scope and price, nothing else.

Client

One clean branded total.

These four lines are the source of truth for the quote, the POs and both invoices.

Touch a cost and the change travels.

Down to the affected supplier, up to the client's total, across to your margin, with each party notified in the view they already use. Watch it run on Spring Launch, just below.

Publish & review

Changes are proposed, then published. Each party reviews what changed before it lands.

Live

Permission-fenced

A supplier can't see above its line, and a client can't see behind the total.

Branded in-app and email alerts, so nobody quotes, briefs or invoices off a stale number.

Walk one project

Spring Launch, brief to paid.

One fictional project, real screens. Follow it from the client's first brief to the final payment, and watch one cost change reach everyone it affects. The same five stages a live project derives from its own data:

The brief

First, the brief.

Watermelon Retail commissions the launch. The brief lands in Cascora as a live record (scope, target budget, dates and the people attached), ready to flow downstream, not a PDF that goes stale the moment it's sent.

Scope of Work

Scope it, lock it.

The team builds a structured Scope of Work, deliverables nested into sections. Sign it off and it locks; later changes need a fresh sign-off. Every budget line and supplier brief will hang off this tree.

The 3D build

The plan is the budget.

The production designer builds the set in SketchUp, and Cascora links the model to the budget so every object is a costed line. Move something or add something and the budget updates with it.

The master budget

Cost in, client out.

Lines flow in from the model and the libraries. Cascora applies the rate card, markup, VAT and any commissions automatically, and shows you cost, margin and the client-facing total side by side. Multi-currency is built in.

Impact forecast

The footprint, before sign-off.

The same budget that prices the project also forecasts its impact. Every line carries a profile: fuel, materials, freight, waste. Cascora rolls these into six headline figures that move the instant a cost does, each citing its DEFRA factor, with thin data shown as a range rather than false precision.

Brief the suppliers

Brief each, reveal nothing.

Cascora briefs the chain straight from the budget. BrightStage get the staging, Lumen the AV and sound, Inkwell the print. Each sees its own scope and price, never the margin, never each other. Quotes flow back into the very lines they came from.

A cost changes

Add one element. Watch it ripple.

Two weeks out, the client wants a recessed LED screen. Drop it into the model: +£9,500 on cost. Lumen are re-briefed, the master total moves and the client’s number recalculates: +£12,350, markup held. Re-keying that across five files by hand is where the number usually goes wrong.

Beta

Design it once and the budget follows.

Push a SketchUp model to Cascora and its bill of materials arrives as costed budget lines with markup applied. Move the design and the numbers move with it. Models are viewable in the browser (orbit, walk or fly) and presentable to a client without exporting a thing.

Agency

The number exists the moment the design does. No asset list to retype.

Competitive quotes

Five suppliers. One budget. No leaks.

Invite several suppliers to price the same lines — a whole section, a sub-section or a hand-picked mix — and see exactly how each one lands in your live budget before you commit. Live

  1. Select the lines you want priced — any grain, from one item to a whole section.
  2. Invite the suppliers who should compete — one request each, pre-filled with your quantities.
  3. Suppliers price independently — they never see each other, or that a competition exists.
  4. Compare contenders live in your budget — a view-only lens; nothing changes for your client.
  5. Award line by line — splitting between suppliers is fine, and losing quotes stay on record for you alone.
